We're looking for a dependable, people-focused General Services Specialist who can be the welcoming face of the office and the steady hand behind daily workplace operations. If you're organised, attentive, comfortable working closely with maintenance and security teams, and confident making sound decisions on the spot, this role is for you.
Work Setup & Schedule: Fully onsite in Makati City, Philippines, five days a week, on a shifting day schedule of either 5:00 AM–2:00 PM or 6:00 AM–3:00 PM.
Role Overview
As our General Services Specialist, you'll help make sure the office runs smoothly every day—from front desk support and visitor coordination to supplies, vendors, facilities concerns, and workplace readiness. You'll work closely with maintenance and security personnel to keep the office clean, safe, organised, and responsive to daily needs. This is a fully onsite role, five days a week, with shifting day schedules of 5:00 AM–2:00 PM or 6:00 AM–3:00 PM, so applicants must be comfortable with consistent onsite work and early shift coverage.
Key Responsibilities
Welcome Every Visitor: Serve as the first point of contact for visitors, clients, and vendors—professional, warm, and helpful every time.
Own the Front Desk: Manage calls, deliveries, guest coordination, and accurate front desk records with care and consistency.
Keep Supplies Moving: Monitor office and pantry supplies, manage petty cash, and process purchase orders and vendor payments accurately.
Coordinate Vendors: Source and coordinate with suppliers while balancing strong working relationships with competitive pricing.
Partner with Maintenance and Security: Coordinate daily with maintenance and security personnel on repairs, safety concerns, building needs, and office readiness.
Make Sound Calls: Use analytical and critical thinking to assess day-to-day office issues objectively, resolving what you can and escalating what needs attention.
Support Office Coordination: Manage conference room scheduling, company events, and related travel or logistics requirements.
Stay Compliance-Ready: Liaise with the Barangay and LGU on facilities and building-related compliance matters.
Skills & Experience
Bachelor's degree in Office Administration, Business Administration, Human Resource Management, or a related field.
1–3 years of experience in front desk, customer service, or administrative support; fresh graduates who want to build a career in office management are welcome to apply.
A warm, professional presence with excellent verbal and written communication skills.
Strong analytical and critical thinking skills, with the judgment to assess situations objectively and act appropriately.
High attention to detail, strong accountability, and a practical, solutions-focused approach to daily office needs.
Experience with vendor sourcing, purchasing, or vendor management is a plus.
Proficiency in Microsoft Office and general comfort using office equipment and workplace tools.
Flexibility and adaptability to work effectively in a dynamic, fast-moving office environment.
Willing and able to work onsite, five days a week, on a shifting schedule (5:00 AM–2:00 PM or 6:00 AM–3:00 PM), and to coordinate in real time with maintenance and security personnel as needs arise.
