We’re looking for a reliable, detail-oriented Bookkeeping and Administration Assistant who can keep financial records clean, workflows moving, and client support running smoothly for an Australian bookkeeping practice. If you’re confident in Xero and Dext, enjoy structured processes, and know when to raise issues before they become problems, this role is built for you.
Work Setup: Full-time onsite during probationary period, and will be switching to a hybrid setup upon regularization.
Role Overview
As our Bookkeeping and Administration Assistant, you’ll support day-to-day bookkeeping and practice administration across multiple client files. You’ll process transactions, manage workflows, reconcile accounts, keep records accurate, and help the director and team stay organized with timely follow-ups, documentation, and task tracking.
Key Responsibilities
· Keep Xero Clean: Process and code transactions accurately across multiple client files, ensuring records stay up to date and aligned with internal workflows.
· Manage Dext Workflows: Handle bill and receipt capture, coding, and approval workflows so client documentation is complete and easy to review.
· Reconcile with Care: Complete bank and credit card reconciliations, identifying discrepancies, missing information, or unusual transactions early.
· Support AP and AR: Assist with accounts payable and accounts receivable tasks, including invoice follow-ups and routine client communication.
· Prepare for Month-End: Support month-end close activities and prepare basic reports for review by the director or senior team members.
· Track the Work: Manage job workflows and task tracking in Xero Practice Manager, keeping priorities visible and deadlines on track.
· Support the Inbox: Monitor shared inboxes, respond to routine client queries professionally, and chase missing receipts, documents, or information.
· Keep the Practice Organised: Prepare documents for BAS lodgements and client meetings, maintain files and checklists in Google Workspace, update schedules and calendars, and provide general administrative support as needed.
Skills & Experience
· Minimum 2 years’ hands-on experience using Xero and Dext in a bookkeeping or accounting practice environment.
· Solid understanding of core bookkeeping principles, including coding, reconciliations, accounts payable, and accounts receivable.
· Working knowledge of Xero Practice Manager, or the ability to learn quickly if experience is with a similar workflow tool.
· Confident with Google Workspace, including Gmail, Docs, Sheets, Drive, and Calendar.
· Comfortable using Microsoft Office, including Outlook, Excel, and Word.
· Strong written English for clear, professional client and team communication.
· Able to manage multiple clients, competing priorities, and recurring deadlines without losing accuracy.
