Role Overview
As a Virtual Assistant, you'll provide administrative and operational support to Australian insurance teams, helping manage documentation, policy renewals, client records, and day-to-day workflows. Your attention to detail and proactive approach will help ensure efficient operations and a seamless experience for both clients and internal stakeholders.
Key Responsibilities
Maintain Client Records: Organise and update digital files, ensuring records remain accurate, compliant, and easy to access.
Manage Documentation: Upload invoices and insurance documents into the document management system in line with company processes.
Coordinate Communications: Manage email correspondence and ensure enquiries and requests are handled promptly.
Support Policy Renewals: Coordinate renewal activities, prepare pre-renewal communications, and obtain renewal terms, policy changes, and claims histories.
Prepare Insurance Quotes: Source comparative quotations using current client information and claims data.
Monitor Debtor Accounts: Retrieve debtor reports and issue payment reminders as required.
Track Claims: Maintain accurate claims records and monitor claim progress within the CRM system.
Keep Operations Running Smoothly: Follow established processes, communicate progress, and proactively escalate issues when needed.
Skills & Experience
2–3 years of experience supporting Australian insurance businesses in an administrative or virtual assistant capacity.
Experience using insurance platforms such as INSIGHT, WinBEAT, Office Tech, or similar systems.
Strong organisational, time management, and multitasking skills with exceptional attention to detail.
Ability to work independently, follow established processes, and manage competing priorities.
Clear written and verbal communication skills with the confidence to provide timely updates and escalate issues appropriately.
A proactive, dependable, and solutions-focused approach to supporting busy insurance teams.
