We're looking for a proactive and detail-oriented Insurance Virtual Assistant who enjoys keeping operations organised, supporting clients, and ensuring nothing falls through the cracks. Work Setup: Hybrid – 2 days onsite, 3 days remote/work-from-home
Role Overview
As an Insurance Virtual Assistant, you'll provide administrative and client support to Australian insurance brokers and teams, helping manage day-to-day operations, policy administration, and client communications. You'll ensure tasks are completed accurately and on time while contributing to a seamless experience for both clients and internal stakeholders.
Key Responsibilities
Support Insurance Teams: Provide day-to-day administrative support to brokers, advisors, and internal teams.
Deliver Outstanding Client Service: Manage client enquiries, emails, and follow-ups with professionalism, accuracy, and timely communication.
Assist with Policy Administration: Prepare insurance documents, quotations, policy renewals, and claims-related documentation.
Maintain Accurate Records: Keep client information, databases, and documentation organised and up to date.
Stay Ahead of Deadlines: Monitor renewal schedules, client activities, and key dates to ensure timely follow-up and action.
Coordinate Schedules: Arrange appointments, meetings, and reminders to keep brokers and clients on track.
Support Continuous Improvement: Identify opportunities to enhance client communication, administrative processes, and overall service delivery.
Skills & Experience
Previous experience as a Virtual Assistant or Administrative Assistant, ideally within the insurance industry.
Understanding of insurance processes, including policy administration, renewals, and claims, is highly desirable.
Excellent written and verbal English communication skills, with confidence supporting Australian clients.
Strong organisational skills with exceptional attention to detail and the ability to maintain confidentiality.
Experience using CRM systems, insurance management platforms (such as Insight, WinBEAT, or Sunrise), and collaboration tools including Microsoft Outlook, Teams, Slack, and Zoom.
Ability to manage multiple priorities, work independently, and consistently meet deadlines in a fast-paced environment.
